Logistics Specialist

Reporting Line: General Manager
JOB PURPOSE

  • Ensure that requirements in terms of reception activities are fulfilled.
    Ensure that requirements in terms of Company Commercial, Sales & Logistics activities are fulfilled.
    Support the Management and Commercial teams in meeting both their local and regional objectives.

A.TASKS AND RESPONSIBILITIES
The authorities and responsibilities shall be as stated in quality system procedures and shall include, but are not limited to the following:

1- Inbound transportation:
Must be familiar with local laws and regulations related to logistics activities and transportation.
Daily domestic orders arrangements with transport companies and follow up the orders till receiving the proof of delivery.
Follow up drivers to receive proof of delivery.
Oversee the inbound process and ensure correct material and quantity is received according to the issued purchase orders.
Ensure all returned material is properly received and return process is started to get material back to stock.
Communicate with the outsourced warehouse to ensure loading is done in an effective manner and onto the correct vehicles with correct products.

2- Outbound transportation
Coordinate and follow up with importing agency to ensure all import shipments are cleared in a timely manner to eliminate delays and demurrages
Follow up all imported shipments with our outsourced importer.

3- Warehouse:

  • Manage and follow up orders release and orders receiving with outsource Warehouse.
  • Receive and releasing orders from our head office WH
    Asking for proof of delivery and follow up receiving it from the outsourced warehouse.
  • Coordinate with sales team and product line managers, establish and maintain Maximum and Minimum stock levels in the warehouse.
    Perform routine inspections in the warehouse and report any non-conformities such as, housekeeping issues, unsafe material storage conditions, damaged material/packaging etc.
  • Coordinate with the outsourced warehouse to regularly Identify expired products and arrange for the transfer of expired products to Quarantine Warehouse.
    Randomly check stock in between stock takes and highlight any variances.
    Coordinate with the outsourced warehouse to ensure dispatching; picking, packing, organizing pallets and loading is done safely and in an optimized manner.
    Arrange quarterly inventory stock take

4- Customer service:

Close coordination with CSR to ensure customer special requirements are met.
Liaise closely with sales team and customer service to ensure timely order processing, pick-up, and delivery to customers
Communicate with customers regarding vehicles loaded and provide details regarding transport used so they can prepare the site.
Follow up to receive the signed delivery notes from transporters once material is delivered.

5- Documentation:

  • Check export documents after loading to ensure it conforms to export countries’ regulations as well as local regulations.
    Maintain letters and correspondence.
    Update account information and complete accurate documentation

RELATED QMS & EMS PROCEDURES

  • The job holder is responsible to fully understand and develop all related Quality & EHS Management Procedures for use in Mapei. Thus, incorporating both Mapei Spa Corporate Procedures and Mapei Local QMS & EHS Procedures related to their specific activities. These procedures form the foundation, under which all the Mapei companies’ activities are conducted, The QHSE Induction program, as issued by the responsible department head / department manager. The understanding of these procedures will be assessed periodically by QAHSE Manager.

HEALTH/SAFETY & ENVIRONMENT

  • Fully understand the national, local, company and groups HSE policy, procedure and regulations.
    Personal Protective Equipment – PPE, care of all company issued PPE is the responsibility of the Job holder, if the PPE should become damaged or require replacement to notify the QAHSE / Maintenance Department immediately. Damaged PPE should not be used under any circumstances.
    Inform the Management of the potential or possibility of any Claims, accident, injury or incident with the use of our products or within the company premises.
    Ensure that the product supplied to/or specified with our customers is technically fit for purpose and complies with our own HSE requirements and those of our customers.
